Reception/Administration Assistant – Part-time

We are seeking a professional, compassionate, and highly organised individual to join our team as a Reception/Administration Assistant.

This key role is the first point of contact for patients, carers, volunteers, staff, and community members, providing a welcoming, supportive, and informative experience. The role also provides executive support to the CEO and ensures smooth communication and coordination across the organisation, supporting the broader team to focus on delivering high-quality, person-centred care.

At BHCI, we provide palliative care and support to patients, carers, and families in our community. This role is vital in ensuring office and administrative systems run efficiently, creating a professional and organised environment for everyone who interacts with our organisation.

About the Role

In this position, you will:

  • Welcome patients, carers, volunteers and visitors, providing a professional and supportive experience.

  • Support communication and information flow across clinical and corporate teams.

  • Coordinate reception and day-to-day office operations.

  • Assist with referrals, correspondence, and reporting to ensure accurate information is available across the organisation.

  • Provide executive and administrative support to the CEO, including diary management, meeting coordination, and events.

  • Work collaboratively with the broader team to ensure coordinated, efficient, and professional service delivery.
  • Manage accounts payable, donations and memberships.

About You

We are seeking someone who is:

  • Highly organised, professional, compassionate and approachable.

  • Confident in Microsoft Office, Xero, and information management systems.

  • Skilled in verbal and written communication, with strong interpersonal abilities.

  • Able to work independently, prioritise multiple tasks, and take initiative, while collaborating effectively with the team.

  • Committed to BHCI’s values, person-centred care, and inclusive practices.
